What Does a Real Estate Transaction Coordinator Actually Do?

What Does A Real Estate Transaction Coordinator Actually Do?
A behind-the-scenes look at how a Transaction Coordinator keeps contracts, deadlines, paperwork, and communication organized from contract to closing.
Some like to call us “paper pushers”. But honey, we do so much more! A TC (Transaction Coordinator) juggles multiple deals gracefully and diligently to help get you to the finish line, also known as closing! Let’s take a deeper look into the daily tasks of a Transaction Coordinator, how TC’s assist Realtors® so that they can keep their clientele growing and business running smoothly, and just how important “paper pushing” is!
What We Do
Just like an event planner takes the stress out of planning an important celebration, a TC’s job is to make sure everything runs smoothly behind the scenes from contract to closing. We keep communication flowing smoothly between all parties, including:
With each of these parties having deadlines to meet, forms to sign, and appointments to keep, TC’s help to keep all of these moving parts organized and flowing by completing daily tasks such as:
     ✅Reviewing contracts for accuracy
     ✅Obtaining signatures and missing documents
✅Sending introductory emails to all parties involved (i.e. agents, attorneys, lenders, assistants, etc.)
✅Providing a timeline of deadlines and ensuring all parties receive a copy of the binding contract, any additional forms and amendments
     ✅Sending reminders for deadlines
✅Coordinating and/or monitoring completion of inspections, appraisals, receipt of earnest money, walk-throughs, closings, etc.
✅Ensuring that files remain in compliance with Brokerage and MLS systems
In some instances, we also help to set the groundwork before a contract is accepted. This includes but is not limited to:
✅Drafting and ensuring completion of Buyer/Seller Brokerage Engagement Agreements
     ✅Updating CRM databases
✅Inputting listings into MLS systems, as well as updating MLS systems as a transaction moves toward closing
✅Adding all listing/buyer documents to the Broker’s compliance software and making sure the file is complete

Why We Do What We Do
All of this can seem like utter chaos without having the proper systems in place to maintain order and timeliness. Without a TC, important details can slip through the cracks. With a TC, agents can spend more time serving clients while knowing someone is keeping an eye on the moving parts behind the scenes.
This makes things a lot less overwhelming for all parties involved, as buying and/or selling a home can be stressful enough on its own. So, the next time you hear someone mention a Transaction Coordinator, know this:
We're not just pushing paperwork. We’re making your life, and your Realtor’s life easier, while making it all look so easy.
